How is Incognito different from Indeed or LinkedIn?

Indeed and LinkedIn sell your attention to recruiters. The product wants you scrolling — every job page is a placement for a paid post, every "Easy Apply" routes through their funnel. Incognito flips it: you upload your résumé once, set your role focus, and our engine scans the core ATS platforms (Greenhouse, Lever, Ashby, Workday, etc.) on a schedule, scores each posting against you, and queues prefilled applications you finish in ~30 seconds. Your pipeline. Your alias mailbox. No promoted placements. No "people also applied". Cancel anytime.

How is Incognito different from a chatbot plus a spreadsheet?

A standalone chatbot helps with isolated drafts. A spreadsheet remembers what you did. Incognito does both inside one profile-scoped pipeline that also finds the jobs and fills the applications: Job Scan discovers roles across the core ATS platforms, Match Analysis scores them against your résumé, the queue stays organized, and paid tiers add Ghost Swipe (triage), Automate (engine prefills + submits), and a private alias mailbox so recruiter spam never reaches your real inbox.

Which job boards and ATS platforms does it scan?

Scout starts with the core source set: Greenhouse, Lever, Ashby, SmartRecruiters, and Workday. Paid tiers expand provider coverage and can pull from broader surfaces like iCIMS, BambooHR, LinkedIn, and other public job pages as those paths are enabled.

How often does the scanner run?

Scan cadence and runtime are plan-based:

  • Scout: once per week, up to 10 minutes per scan.
  • Operator: every 12 hours, up to 20 minutes per scan.
  • Ghost: every 6 hours, up to 40 minutes per scan.

Manual "Scan now" uses the same runtime budget as the scheduled scanner, and partial results still save into your queue and activity log if a run hits its time limit.

What is "Ghost Swipe"?

Ghost Swipe is the paid-tier review lane for fast triage. Each card shows company, role, compensation when available, and the job's match score against your resume. Swipe right to keep it in queue, left to pass, and come back to the saved roles you want to review more deeply.

Does auto-apply actually work?

Yes, within guardrails. Automation starts on Operator and only runs on supported application flows. Incognito opens the form, fills what it can ground in your active profile and resume, and pauses whenever a required answer needs human review.

  • Scout: queue, track, and review manually.
  • Operator: entry automation layer for supported flows.
  • Ghost: adds more volume plus the mailbox assistant and reply workflows.

The product deliberately avoids blind mass-submission behavior. If an application path is unsupported or a question cannot be grounded from your resume, the run stops and asks you to take over.

What's the difference between Fast Apply and NobuAI Auto-Apply?

Both run on the same NobuAI engine; the difference is concurrency.

  • Fast Apply Beta · Live ships on every paid tier (Operator $39/mo and Ghost $89/mo). Click once on a queued job and NobuAI prefills + submits that one job. Beta covers 5 ATSes (Greenhouse, Lever, Ashby, Workable, SmartRecruiters); the remaining 14 expand at GA after the Beta dispute-rate window closes clean.
  • NobuAI Auto-Apply is the Ghost-tier upgrade. Select up to 3 jobs in your queue and NobuAI submits all of them in one engine run (capped at 3 to avoid timeouts).

Same underlying engine. Same captcha-aware fallback to the Preview Queue when intervention is needed. Same "never mark applied without a real confirmation" invariant. Different concurrency.

Can I tailor resumes per role?

Yes. Every resume snapshot is saved with version history (last 10 per resume, revert-able). The AI tailor rewrites bullet points to match job-description keywords without fabricating experience. You review + approve before it's saved as a new version.

What is the mailbox assistant?

Ghost can create private email aliases for recruiter replies. Incoming messages classify into conversations, your personal address stays private, and Ghost can draft whitelist-based replies with approval before send.

Can I use multiple profiles for different careers?

Yes. Each career profile has its own resumes, aliases, scanner config, and pipeline. Switching profiles re-scopes everything instantly — jobs for the GRC track don't show when you're in the PM profile.

Privacy & Security

How does the alias mailbox keep recruiter spam out of my real inbox?

Ghost provisions a per-profile alias address — something like jonas-grc@useincognito.com. Every application you submit through Incognito uses that alias as your contact email. Recruiter replies hit our mailbox first, where NobuAI triages them by intent (interview request, rejection, follow-up, spam), threads them inside Incognito, and drafts replies you approve before they send. Your real Gmail/Outlook stays clean. When the search wraps you can disable the alias in one click.

Is my resume sold or used for AI training?

No. Your resume is never sold, shared with advertisers, or used to train external AI systems. NobuAI and search processing use zero-retention routes where third-party infrastructure is involved: the data is used for the request, then not retained for model training.

Where is my data stored?

On our VPS in the US. Files are encrypted at rest. Database-layer isolation per user. No third-party analytics trackers (we built our own self-hosted event tracking). No Google/Facebook pixels.

Can I export everything?

Yes. Settings → Export my data gives you a single JSON bundle with every profile, resume, job, application, email thread, and preference. Machine-readable so you can migrate elsewhere.

What happens when I delete my account?

Your user directory is wiped synchronously (profiles, resumes, jobs, applications, mail, preferences). Sessions invalidated. Username added to a revoked list so it can't be reclaimed to inherit your mail aliases. Log files rotate out within 30 days. See data retention policy for the full detail.

Is there 2FA?

Yes — Settings → Security → Two-Factor Auth. TOTP-based, works with any authenticator app (Google Authenticator, 1Password, Authy). Disabling requires both your current code AND password.

Who can see my pipeline?

Only you. Other users — including admins — can't access your data via the app. Our internal support uses an impersonation flow that's fully audit-logged (every start/stop gets an entry with actor + target); that's used only with your explicit consent for debugging.

Pricing & Billing

Do I need a credit card to try it?

No. Scout is free forever, so you can sign up without a card and keep using the core pipeline indefinitely. Paid plans unlock higher caps, faster scan cadence, Ghost Swipe, automation, and mailbox tools; your pipeline and data stay intact either way.

Can I cancel anytime?

Yes. Settings → Plan & Billing → Manage billing opens the Stripe portal where you can cancel, update your card, or change plans. No retention calls, no contracts, no prorating tricks.

What about unlimited applies?

Every tier has a ceiling. That's a product choice, not a limitation: unbounded auto-apply volume is what gets accounts flagged as bots. Our caps are sized for active job seekers running a 4-8 week search, not for people trying to spam 500 applications in a weekend.

Do you offer annual billing?

Planned — annual billing with 2 months free is on the sprint roadmap (changelog will catch it when it ships).

Is there a team or family plan?

Planned. For now, shared accounts aren't supported — each user needs their own login. Tell us if this would be useful via the bug/feedback button.

Do you offer refunds?

Refunds are for service issues — a material bug or outage that blocks core usage. We don't offer blanket money-back on "I didn't use it enough" or "I landed a job in week 1". Scout is free forever if you want to evaluate the product before paying. If something genuinely broke on our side, email hello@useincognito.com and we'll issue a prorated credit or refund.

Data & Integrations

Do you integrate with LinkedIn?

Partially. The scanner pulls LinkedIn-sourced job postings via search. Direct LinkedIn messaging / applying is not available — LinkedIn doesn't expose that via API, and unofficial automation violates their terms.

Do you integrate with Gmail / Outlook?

Not directly. Ghost uses Incognito-managed aliases and mailbox workflows so your personal inbox stays separate. If you want replies forwarded to your real inbox, set the forwarding address in Settings → Profiles & Resumes.

Can I import my existing application history?

Yes via the API (see docs) or by pasting job URLs one-by-one. A CSV import feature is planned.

Is there an iOS / Android app?

Mobile web is fully supported (responsive design, PWA-installable). Native apps are on the roadmap but not a short-term priority — the web app works on mobile.

Troubleshooting

The scanner isn't finding jobs for my role.

Check the active profile in Settings → Profiles & Resumes, then open Jobs → Job Scan and confirm the query, location, and work-mode filters make sense for that profile. The scanner scores against the linked resume, so upload or relink the resume if the profile is blank or stale.

I'm not getting email notifications.

Check Settings → Preferences → Notifications. If on, and you still don't see them, the forward-to address may be bouncing — check your spam folder and update the forward address in Settings → Profiles & Resumes.

Auto-apply isn't submitting anything.

Check Automate → Activity. Most pauses happen because the flow hit a required question, the active profile is missing resume/profile data, or the posting is on an unsupported application path. Once you fix the blocker, retry from the activity log.

My match scores seem off.

The score is weighted toward "required" keywords from the JD (2x) vs "nice-to-have" (1x). If your resume doesn't yet mention a required skill you have, add it — the match reflects your resume, not your actual experience.
